Case Study — BPA Forms
THE CHALLENGE
The University of Tasmania is Australia’s fourth oldest university.
Ranked in the top 10 of Australian research universities and the top two per cent of universities worldwide, UTas intend to provide an exceptional student experience to complement their academic offering.
UTas had a desire to move from a number of outdated bespoke data accumulation methods, to a digitised and automated process, using TechnologyOne’s BPA Forms to do so.
WHY IT WAS IMPORTANT
Automation of 12 processes would decrease resourcing constraints and improve the UTas student experience.
UTas value their exemplary student services delivery, with the BPA initiative project playing a key role in continuing to provide and improve this offering, aligned with the university’s core values.
Alongside ESAM’s execution of this project, ESAM provided a Solution Architect as well as a number of experienced Technology One BPA developers. The project team worked closely with UTas staff, enabling them to make changes and develop forms and processes themselves.
HOW THE WORK WAS CARRIED OUT
Initial workshops were conducted onsite at UTas’ Hobart campus. Mid-project validation workshops were also held for ESAM consultants to meet stakeholders, with a final visit undertaken during completion and handover of the project.
UTas’ BPA Forms were built, tested and implemented across a working period of four months.
Once handover was facilitated, ESAM Consulting remained engaged with UTas until the forms were released to production, as per the university’s schedule. A number of existing complexities are being worked through, including TechologyOne upgrade packages.

Through the BPA initiative project, the UTas student experience was greatly improved, bringing accomplishment and relief to student services & academic staff within the University.
Bespoke methods previously in use were retired, freeing up resources for alternative work.
This improvement allowed UTas to continue to iterate their core value, offering exemplary student services at all possible opportunities.
